Draft a clear customer reply from facts you know

Answer one customer without inventing a refund, delivery date, policy, or promise.

Before you start

  • Find the actual answer in your order system, notes, or current policy before drafting.
  • Remove customer identifiers and information unrelated to the question. Follow your workplace's rules for external AI tools.
  • Choose the next step you can actually offer.

When this helps

Useful for drafting a reply when you know the answer but struggle with wording. Start with an existing assistant for one message and keep the decision and sending step with you.

This prepares a draft. You review and take the final action.

Opening the brief builder…

Use your chosen tool

  1. Enter the customer's question, confirmed facts, and next step.
  2. Paste the prepared prompt into the listed tool's chat and submit it.
  3. Compare every factual sentence with your records. Remove any unsupported offer or promise.
  4. Adjust the tone to your business, then send through your usual inbox.

An illustrative example

Written to show the intended shape of a result; this is not a measured tool test.

Starting material

Customer: Can I collect my order this evening instead? Confirmed facts: The order is ready for collection on Friday after 2pm. It cannot be collected earlier. Next step: Ask whether Friday afternoon works for them. Tone: Friendly and straightforward.

A useful draft

Hi Jordan, your order will be ready for collection on Friday after 2pm. We can't make it available this evening. Would Friday afternoon work for you? Thanks! Before sending: Confirm that Friday after 2pm is still correct. This draft offers no delivery service, discount, or exception.

Check before using it

  • Does it answer the customer's actual question?
  • Are order status, times, amounts, and policy details correct?
  • Did it turn an estimate into a guarantee or invent a cause for a problem?
  • Can you carry out every action it says you will take?
  • Is the reply concise and personal enough for your business?

If it needs work

  • Remove every offer or commitment not included in my facts. Keep the reply helpful and concise.
  • Use 'expected' for the timing, because it is not confirmed. Do not add a delivery guarantee.
  • Make this sound like a person replying, without a long introduction or sales language.

The simpler alternative

Keep a few short templates for repeated questions. Add the correct facts and personalize the greeting; a template may be quicker than starting a new AI chat.

When a specialist product may be worthwhile

A support tool becomes more relevant when several people manage the same queue or you need approved answers connected to current records. Check handoff, access permissions, costs, and draft approval before enabling automated replies.
